The Executive Sales Administrator is responsible for providing
daily administrative, project management, and analytical support to
the Executive Partner of Sales as well as the 6 Market Partners of
Sales. The Executive Sales Administrator acts as the liaison
between the market-based Sales Team members and the Executive
office. The Executive Sales Administrator proactively provides
reports, analytics, and trends to Sales Leadership team to
facilitate quick and efficient strategic decisions. The Executive
Sales Administrator must have good problem-solving skills and must
be proficient at process improvement.
Responsibilities:
Data Analytics, Reports, Summaries and Presentation of
Materials:
- Gathers, prepares and formats data and reports into an easy to
present format for the Executive Partner of Sales.
- Generates and reviews for accuracy various sales reports on a
weekly, monthly, quarterly, and annual basis and provides to the
Market Partners, Executive Partner Sales, and Executive Team as
needed
- Acts as a liaison between the Executive Partner of Sales and
the Enterprise Technology Services team to ensure reports are
accurate and informative
- Maintains database in Sales System with all Sales Department
documents and ensures confidentiality and that they are accurate
and up to date
- Liaison between Sales Leadership and ETS Project Manager on
updates, troubleshooting sales systems
- CRM
- Sales Commission Dashboard and Trinity Interface
- MP Pricing Tool in Trinity
- Trinity
- Docusign
- GCO Portal
- RFP Portal
Travel and Event Planning:
- Plans and executes the following events:
- Sales Kick off
- Market Ops Review Hotels and Dinners-In Market Sales Lunches
during Ops Review Weeks
- Broker Grand Opening Events
- Leadership Weekend
- Annual Sales Trip
- Executive Weekend
Administrative Support
- Compiles weekly surveys for the Founding Partner and
administers and tracks True Action Alert Reports
- Maintains all sales team Real Estate license cards to ensure
all are up to date and organize each by region
- Organizes and coordinates logistics for all sales trips and
sales kick off events, send meeting invites to all Executives for
community Grand Opening events
- Works with True Advisors from each market on any outstanding
database issue- ie Broker sales data, contract data
- Fulfills Marketing Material Requests for True Advisors
- Acts as Liaison between Brokers and Executive office as
needed
- Orders and coordinates Game Film
- Ensures all sales team members respond to requests needed by
Executive office
- Performs other duties as needed or required such as catering
for events or meetings
- Initiate Key Sale Audit weekly to ensure Key Sales turn into
Core Accounts and the Core Agreement is signed by the selling
Broker
- Reviews all Core Broker sign-up sheets, enters Core Broker
information into data base, and ensures criteria has been met
Results/Accountability:
- Ensures all reports are delivered on time and
accurately
- Meets all deadlines as requested by Executive Team
Qualifications:
- Associates degree in business, administration, or related field
required, bachelors degree preferred
- Three to five years of administrative experience supporting
executives required
- Proficiency in Word, Excel, and Outlook
- Structured Query Language (SQL) and report writing experience
preferred
