CATAWBA INDIAN NATION Job Description POSITION: Administrative Operations Assistant PAY RANGE: Pay band 5, starting salary $42,000+ depending on experience, Salary; Exempt; Full Time JOB DESCRIPTION: The Administrative Operations Assistant provides administrative support to the Tribal Administrator of the Catawba Nation. The role of this position is to facilitate important projects and aid in the processes related to the daily operations of the tribe. This position reports directly to the Tribal Administrator._ This position is responsible to and subject to the CIN Personnel Policies and Procedures Manual. _ ESSENTIAL DUTIES AND RESPONSIBILITIES: Handling phone calls, emails, and communication with stakeholders. Scheduling appointments and assisting with the preparation of meetings and engagements. Recording minutes, taking notes, and maintaining records. Filing and organizing documents in file cabinets as well as electronic environments. Maintaining list of necessary follow-ups on delegated projects. Assist with story ideas for communicating governmental projects, prepare flyers or other graphics as needed. Write distribution emails, memos, and letters. Ordering office supplies and assisting with procurement needs. Reconciling monthly credit card statements. Coordinating travel plans. Reviewing and approving monthly drawdown packets. Processing vendor invoices. Researching new initiatives. Coordinating staff events and meetings. Tracking reports such as travel reports, weekly director reports, etc. Maintaining forms needed for daily office processes. Assisting with Special Administrative projects as they arise. Overseeing the daily management of the tribal office. Preparing various reports as needed. Leading yearly insurance renewals and submitting claims. Preparing presentations using PowerPoint or other tools including for the General Council. Compiling information for third parties, vendors, insurance carriers, etc. Compiling information for the E.C., Divisional Directors, and the Executive Leadership Team. Other duties as assigned. COMPETENCIES Ability to work on multiple projects in a fast paced and rapidly changing environment while also maintaining the ability to achieve accurate and highly competent results. Capable of being highly flexible as it relates to assignments, priorities, and have ability to be onsite during the workday. Exceptional interpersonal communication and customer service skills. Strong understanding of confidentiality and ability to maintain confidentiality. Conduct themselves in a professional manner when representing the Tribal Administrator. Strong verbal and written communication skills. Strong organizational skills and attention to detail. Analytical problem solver. MINIMUM REQUIREMENTS Must possess Associates Degree in business, accounting, or related field. Minimum 2-3 years' of work experience in a professional or administrative environment. Strong working knowledge and skillset with Microsoft Office Suite, copier/printer/fax/scanner, phone, internet. Valid State Driver's Licenses and clean Driving Record (have to meet requirements to be on company driver's insurance policy). PHYSICAL REQUIREMENTS While performing the duties of this Job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms; bend so as to open/use lower drawers or cabinetry; to talk, hear, and see. The employee is frequently required to sit. The employee is occasionally required to stand; walk; climb or balance; stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds.
