SummaryThis position is primarily responsible for providing
oversight and coordination for all program project coordinators and
support to Energy Advisors and Energy Engineers ensuring that
information is accurate, files are maintained and continuously
reviewed, and provide continuous communication with business
contacts. This position is additionally responsible for managing
customer grant processing, informing Energy Advisors of expiring
grants and applications, and assisting customers.Essential Duties
and ResponsibilitiesThis list of duties and responsibilities is not
all-inclusive and may be expanded to include other duties and
responsibilities, as management may deem necessary from time to
time.
Coordinate with Energy Advisors to ensure good organization of
files, paperwork, and data entry as well as communication to the
business contactsMaintain, update, and add entries to the program
database accurately to complete project processing for approvals
and payment. This may require contacting clients, and trade
alliesAnswer phones and assist customers with understanding how to
participate in programs, how to get project incentives, and
coordinating paperwork/applicationsHelp maintain and update
additional program support database (i.e. SharePoint) relating to
project tracking and project assignmentsWork with program staff to
streamline efficient workflowsProvide office management support
including follow-up on issues relating to computers, printers and
fax/copy machines, and maintain office supplies and equipment,
ordering office supplies and other office logisticsMonitor activity
to maintain contract and subcontract compliance including tracking
of invoices and report submittalsCoordinate with program management
on managing quality assurance and quality control of project
documentation and processingAssist trade allies and customers to
ensure they have the correct information and marketing materials to
promote the energy efficiency incentivesTracking monthly and
quarterly performance of teams, and goalsProvide assistance with
customer service, scheduling and other issues as neededTranscribe
data and compose and edit a variety of letters or memorandaAnswer
and refer incoming calls to the appropriate person or
departmentProvide administrative support to program staff as
neededPosition RequirementsEducation and Experience High school
diploma or equivalentAssociate Degree or equivalent - Preferred3+
years of previous office experience
Required Skills, Knowledge and AbilitiesStrong customer service and
communication skillsMust be able to handle a wide work variety and
work in a fast-paced environmentMust have a high level of
interpersonal skills to handle sensitive matters and confidential
informationMust be a detail-oriented, organized, self-starter, and
have an ability to prioritize workloadAbility to identify and
resolve project application issues with customers and trade
alliesProficient in Microsoft Office, specifically Word, Excel and
OutlookStrong data entry skills in entering information in tracking
systems/databasesAbility to communicate effectively, both verbally
and in writing with customers, clients and employees.Ability to
analyze and interpret data and solve practical problemsKnowledge of
mathematical concepts such as fractions, percentages and

Estimated Wage Range: $42,300 - $58,100+
